We run high-value live events premium mentoring programmes and digital products with revenue flowing through multiple streams — event ticketing high-ticket programme sales payment plans and hospitality packages. This is a fast-paced founder-led business where financial accuracy and speed of reporting directly inform commercial decisions. The numbers are not a back-office function here — they drive the business daily. ## The Role You will own the entire day-to-day finance function bookkeeping reconciliation VAT preparation management reporting and supplier payments. You are the single source of truth for what has been sold what cash has been collected what is owed to us and what we owe others. You will work closely with the Founder and COO with external accountants handling statutory filings and year-end. You prepare they review and file. There is no statutory accounts preparation in this role. ### Key Responsibilities Bookkeeping & Reconciliation - Daily bookkeeping in Xero across multiple bank accounts a corporate charge card feed and a high-volume Stripe account - Accurately categorising a mixed transaction flow low-value event booking fees event ticket sales hospitality and accommodation packages high-ticket programme sales and recurring payment plan instalments - Correct VAT treatment per transaction including identifying overseas customers via payment data and registration records - Processing supplier bills through Dext and keeping the purchase ledger complete — chasing missing invoices proactively Reporting — Weekly - Cash collected (weekly and month-to-date) and sales value (weekly month-to-date and year-to-date) - VAT liability quarter-to-date - Bad debt schedule — names amounts and age - Total value of outstanding payment plans (the deferred debtor book) - Total creditors with full breakdown - A “money in” summary distinct from the sales team’s pipeline figures — actual cash landing Attendance at a weekly 'all company' online meeting Reporting — Monthly - Management accounts pack revenue by product line vs prior month and prior year contribution margin by product (not just blended) cash collected vs sales and marketing spend as a percentage of revenue - Attendance at a monthly finance meeting with the Founder and COO Event & Commercial Finance - Event P&Ls delivered within three working days of each event with live and virtual events tracked separately - Sales commission reconciliation calculating commission on cash collected removing defaulted sales from monthly figures and reconciling closer invoices line by line against agreed terms - Maintaining the payment plan spreadsheet and flagging defaults the week they occur Payments & Compliance - Running the supplier payment process maintaining a live approval sheet Founder approves you execute - VAT return preparation for review and filing by the external accountants - Supporting a VAT provisioning process so liabilities are always covered ## How We Work — Read This Before Applying - Cash collected is the operating metric. We always distinguish contracted value cash collected and cash at risk. If that distinction isn’t second nature to you this isn’t your role. - Speed matters. The Founder will often want a directionally accurate number today rather than a perfect number next week. You need the judgement to know when precision matters and when it doesn’t — and the confidence to give a figure with appropriate caveats. - Transparency is non-negotiable. Every number you produce may be questioned checked and challenged. That’s not distrust — it’s how the business runs. You should welcome scrutiny explain your workings clearly and patiently and never be defensive. - Communication standards are explicit. Acknowledge every task when it lands. Flag immediately when you’re blocked. No task goes quiet. - You’ll spot problems before anyone asks. Missing invoices unreconciled items misposted transactions payment plans drifting into default — you surface these you don’t wait to be asked. ## Who We’re Looking For Essential - AAT qualified (or equivalent) with significant hands-on bookkeeping and management accounting experience - Xero certified or demonstrably expert — including VAT returns reporting and multi-feed reconciliation - Experience reconciling high-volume Stripe (or similar payment processor) accounts with mixed transaction types - Strong working knowledge of UK VAT including Making Tax Digital and treatment of overseas sales - Experience producing management accounts a non-accountant can actually engage with - Proven remote autonomous working — you manage your own workload without supervision - Meticulous attention to detail combined with commercial common sense Desirable - Experience in events training coaching or another business with deferred revenue and payment plans - Experience reconciling commission structures for a sales team - Familiarity with Dext and modern payment tooling - Experience working alongside an external accountancy firm in a prep-and-review arrangement ## What This Role Is Not - It is not a statutory accounting role — external accountants handle filings and year-end - It is not a passive data-entry role — you are expected to think challenge and improve processes - It is not for anyone who works to an hours threshold and stops — we hire for ownership of outcomes ## The Package - Self-employed engagement approximately 30 hours per week fully remote - Rate commensurate with experience - Direct working relationship with the Founder and COO — your work is seen used and valued daily Pay £2500.00-£4500.00 per month Work Location Remote
