Job Description - Hybrid - This role is categorized as hybrid. This means the successful candidate is expected to report onsite three times per week at minimum. About the Role: Under the general direction of the Sales Operations Manager the Sales Operations Specialist will be responsible for managing Sales Orders for assigned regions including but not limited to creating and reviewing Purchase Orders in a timely manner reconciling auditing and fulfillment of Hardware/Software/Support/Virtual items. This position will work closely with outside vendors and consult with internal teams to continuously build relationships and operational efficiencies and drive sales. What You'll Do: Lead sales orders cycle for assigned regions. Actively and continually engage with assigned regional teams to develop a solid understanding of their business and recommend solutions for efficiency. Provide guidance to internal teams on resolving variances. Contribute to and enforce purchasing standard operating procedures and policies. Ensure the Purchasing process is executed correctly to minimize liability to the Company. Responsible for the internal item setup process and coordinating with sales team to ensure proper classification of each item “attribute” (tax classification practice area type etc.) Review orders to ensure that items/components are properly classified at the time of purchase. Send purchase orders to the correct vendor/distributor and work together to resolve any questions or discrepancies that arise. Work with the inventory team to ensure that backorder inventory assigned to sales orders is sourced and purchased. Create billing schedules for installment orders to ensure our clients are invoiced for the correct amount at the correct time. Track all product-related line items (hardware software support and PS resale) and complete weekly follow-ups with vendors for all unfulfilled product line items. Perform item fulfillment based on vendor bills physical shipping confirmations electronic delivery confirmations license keys and support contracts. Request track and fulfill return authorizations. Problem-solve discrepancies and provide recommended solutions. Perform other duties as assigned. Qualifications & Interests High school diploma or equivalent (Bachelor’s Degree preferred). Minimum of 3 years of related work experience in purchasing sales operations or logistics. Experience in Operations strong internal controls knowledge and experience implementing processes and procedures. Strong Microsoft Excel skills. We are looking for a highly analytical and detail-oriented Sales Reporting Analyst / Data Auditor to support our sales organization with accurate reporting performance insights and data integrity checks. This role is critical in enabling data-driven decision-making by delivering timely accurate and actionable sales reports and dashboards while also ensuring the quality and consistency of sales data across systems. What You’ll Do Develop maintain and automate recurring sales performance reports and dashboards (e.g. pipeline revenue conversion rates quotas). Provide ad hoc analysis to support sales strategy forecasting and territory planning. Audit sales and customer data for accuracy completeness and consistency across CRM and reporting platforms. Identify and resolve data discrepancies working closely with Sales IT and Data Engineering teams. Track and analyze key sales metrics such as lead-to-close ratios average deal size sales cycle length and rep productivity. Ensure alignment of KPIs with business goals and reporting standards. Recommend and implement improvements to reporting processes data collection methods and audit procedures. Support the standardization of sales data definitions and reporting templates. Partner with Sales Leadership Finance and Marketing to understand reporting needs and deliver insights that drive performance. Train sales team members on how to interpret and use reports effectively. Your profile Bachelor’s degree in Business Analytics or a related field 5+ years’ experience in sales reporting data analysis or auditing Proficiency in Excel SQL and BI tools (e.g. Power BI Tableau) Experience with CRM systems like Salesforce Strong communication skills and attention to detail Experience in sales forecasting or pipeline analytics Knowledge of data governance standards (e.g. GDPR) Familiarity with scripting languages (e.g. Python) This Position Has a Target Base Salary Of $100000.00 And Annual Commission Target Of Quadient Inc. has target base salary and target incentive compensation for our sales roles that are based on function level and scope.
